Inside the Order: A Complete Guide to Meisida's Production and Delivery Timeline for B2B Ribbon Buyers
One of the most common frustrations B2B buyers have with overseas ribbon suppliers is the uncertainty. You send an inquiry, you get a quote, you place an order — and then you wait, sometimes without clear information about where in the process your order actually is. At Xiamen Meisida Ornaments Co., Ltd. (Smith Ribbon & Bow), we've built our entire client experience around removing that uncertainty. This article walks through exactly what happens from the moment an inquiry arrives to the moment your ribbons reach your warehouse, because we think you deserve to know precisely what you're buying into before you commit.

Our Xiamen dispatch bay on a typical morning: multiple orders staged and labeled for different global destinations, each with its compliance documentation attached.
Why Transparency in Production Timelines Matters for Your Business
If you're a wholesale buyer who sells to retailers, event planners, or brands, your reputation is downstream of your supplier's reliability. When your supplier misses a delivery date, you miss a delivery date. Your client doesn't care about the factory explanation — they care that the product wasn't there when they needed it.
We've spoken to dozens of buyers who switched to Meisida after a single bad experience with a previous supplier — an order that arrived two weeks late, a custom color that wasn't matched correctly, a batch where the quality dropped because a different sub-supplier was used without notification. These aren't catastrophic failures in isolation, but they accumulate into a broken relationship and, ultimately, a lost client for the buyer.
Our approach is different: every step of the process is defined, documented, and communicated. Here is exactly how it works.
Stage 1 — Inquiry to Quotation (Same Day)
When an inquiry arrives — whether through our website, Alibaba storefront, or directly via email — it is assigned to a dedicated account manager within 2 hours during business hours (CST). That account manager is your single point of contact for the entire relationship.
The quote you receive will include:
Unit pricing at multiple quantity tiers (so you can see how price scales as your volume grows)
Lead time for the specific product and quantity requested
Specification confirmation — width tolerance, color match method, material grade
Minimum order quantity for stock versus custom production
GRS or Oeko-Tex certification status for the requested material
We do not quote lead times we cannot commit to. If we have capacity constraints in the next production window, we tell you on the quote, not after you've already placed the order.
Stage 2 — Color Matching (12 Hours for Digital Proof)
For stock colors, this stage is simple: the color exists, we send you a swatch photo under controlled lighting within the same business day, and you confirm. For custom color matching — where you're providing a physical swatch, a Pantone code, or a digital reference — our lab turns around a digital proof within 12 hours of receiving your specification.
The digital proof shows the matched shade photographed under three different lighting conditions: D65 daylight, TL84 retail lighting, and warm incandescent. This is important because a ribbon that looks perfect in daylight might read differently in your client's store. We surface this before production, not after.
If you require a physical lab dip (a small sample of the actual dyed yarn), we can dispatch that via express courier and it will reach most European and North American destinations within 5 business days. Physical lab dip approval is recommended for any order where color accuracy is critical — luxury packaging, branded merchandise, or fashion accessories.
Stage 3 — Production (10–15 Days for Most Orders)
Once color is approved and the purchase order is confirmed, your order enters the production queue. Our Xiamen facility runs a 24/6 production schedule (we close on Sunday for maintenance). Here's how a standard order moves through:
Day 1–2: Yarn preparation. The required yarn is pulled from inventory or specified for incoming delivery. For recycled polyester (GRS-certified) orders, we pull from our verified recycled stock and log the batch against your order in our traceability system.
Day 3–8: Weaving. Your ribbon is woven on dedicated looms. For custom width or construction orders, loom setup adds 1 day. Our standard widths (6mm through 100mm) are standing setups, so production begins immediately.
Day 9–11: Dyeing and finishing. After weaving, the ribbon goes through our dyeing process. For colors within our standard palette, dyeing is scheduled to a confirmed batch and typically adds 2 days. For custom matched colors, the recipe from the approved lab dip is loaded directly, eliminating guesswork.
Day 12–14: Quality inspection and spooling. Every lot goes through our AI-assisted visual inspection system before spooling. Defects, color deviation, and width variance are flagged automatically. Our current reject rate is under 0.03%. Approved ribbon is spooled to your specified yardage per roll, labeled, and staged for dispatch.
Day 14–15: Documentation and dispatch. Your GRS Transaction Certificates, commercial invoice, packing list, and any required OEKO-TEX or origin documentation are generated and attached to the shipment. We dispatch via your preferred freight method or our carrier agreement.
Stage 4 — Logistics (5–10 Days Delivery)
We maintain freight agreements with DHL Express, FedEx, and major sea freight consolidators. For the majority of orders under 500kg, we recommend air freight given our competitive rates — your ribbons typically arrive in Europe within 5–7 days of dispatch, and in North America within 6–8 days.
For large volume orders over 500kg, LCL (Less than Container Load) sea freight makes sense economically. Sea transit time to European main ports is approximately 28–32 days; to US East Coast is 35–40 days. We factor this into our production schedule so the total order cycle time remains predictable.
Every shipment comes with a tracking number provided at dispatch. For air freight shipments, we provide real-time tracking links. For sea freight, we send vessel booking confirmations and estimated arrival notifications.
MOQ: The Honest Answer
Minimum order quantities are a common point of friction with overseas suppliers. Here is our actual structure:
Stock colors, standard widths: 100 yards per SKU. This is genuinely our floor — no hidden requirements, no "minimum first order" rules that magically appear after you inquire.
Custom dyed colors: 1,000 yards per color. Below this, the dyeing economics don't work, and we'd rather be honest about it upfront than pad pricing to cover the shortfall.
Custom woven constructions (non-standard width, structural patterns, wired ribbon): 500 yards minimum per SKU.
Printed ribbon (logo, text, or pattern): 500 yards per design per color, with a 10-day design proof stage before production.
We don't enforce sample charges for standard materials. For custom samples requiring significant setup — specialized weave patterns, multi-color yarn blends, custom wired constructions — we charge a sample fee of USD 80–150 per development, credited back against the first full production order.
What Happens When Something Goes Wrong
We are a factory, not a magic box. In a facility producing millions of meters of ribbon per month, quality exceptions do happen. What matters is how they are handled.
Our policy is simple: if the issue is caused by our production — incorrect color, width variance outside tolerance, defective construction — we remake the affected quantity at no charge and air freight it at our expense. We don't argue about whether a fault is "within tolerance" when a client can see it clearly. We don't ask buyers to send defective stock back before we produce a replacement. We fix it first, we discuss causation after.
In our experience, the brands that trust their suppliers most are the ones who've seen how those suppliers handle a problem. We'd rather earn that trust through how we handle the occasional exception than claim to be an exception-free factory.
